2007 ComicGenesis Cookout - Pre-Information

Beth's pushing me to post this, which I suppose is fair given she did all the work. I have broken this down into three sections - Location, Food, and Fee. There's a lot of data here, so read before asking questions!

LOCATION

A local Howard Johnson's hotel near the airport is redeveloping into a very fine Best Western hotel. Man, are the rooms sweet: Two queen size beds in every room, kitchenette in every room (microwave, coffee pot, refrigerator), broadband (wired and wireless) in every room, full cable in every room. In addition, they have a nice confrence room they're letting us have for BOTH Friday and Saturday, an outdoor pool, two restaurants, and get this - 24 hour Shuttle service TO and FROM the airport.

Prices: $65 per room. Room can have up to four guests. I suggest that you start figuring out now who you might want to room with, if you can't swing the cost alone. Please don't panic - you have nine months to pick up this cash.

Oh God I Can't Afford It: Ok, so you absolutely, truely want to come, but you can't swing ANY money no matter how hard you try, for any part of a hotel room. Beth and I are renting two rooms specifically for you. These "free rooms" will be awarded (4 to a room) on a case by case basis judged by Ryan and Beth.

Reserved: We have reserved 20 rooms for the time being, which we have been told will be in one block. We can reserve more at this price. Reservation details to follow next week. Rooms are reserved from THURSDAY 06/07/2007 through SUNDAY 06/10/2007. Any unreserved rooms will be released to the public one month before the cookout. If all twenty rooms get rented, Beth and I get a free Jacuzzi suite, which you will all be invited to enjoy (particularly the wome-OW! Dammit Beth...)

FOOD

The 2007 ComicGenesis Cookout will be a catered event. This is because we will not be allowed to provide our own perishable food at the conference room. We have already asked them to work up a cost for cookout-type foods, including a meatless option.

Yes, catered. Before you complain, remember that I spent the majority of the cookout... cooking. And while that was fun, I really do end up missing out on a lot of the cookout events. And that makes me sad. Buying, Storing, Moving, and Prepping said food was also a nightmare, and the cookout is only growing every year. Finally, some folks didn't get food until late because I only had so much grill space - catering handles that problem as well.

No, we're not changing the name. It's cookout food, even if it's not cooked out. :P

This means that you will not be required to bring food. You are welcome to do so, but you don't HAVE TO. If you do, the rule of thumb is this: "The food should be non-perishable. This means if it needs a refrigerator or freezer, it is out." And that's a hard line - if you bring perishable food, you'll have to keep it in your room refrigerator and not bring it to the conference room. It's for insurance reasons, I'm told.

FEES

All this prepwork brings me to the final part of this document - Fees. Shortly after the 2006 cookout, the idea of fees was batted around, based on the fact that even after several hundred dollars of very welcome donations, Beth and I still outlaid over a thousand dollars for the cookout.

This year, we just don't have that kind of money coming in from our taxes or any other source. So there will be a fee of somewhere between $20 and $35 for this year's cookout. The exact value will be determined after we find out how much catering will be (a major portion of the expenses this year), and the fee will not be geared towards making a profit - we will try to match it roughly to the costs we expect to incur.

What does this mean for you? Well first off, it means that you have nine months to pick up an extra (what at most should be) $35. It also means that while we will glady accept donations to offset the cookout costs we aren't including (time, gasoline, etcetera), we will not be actually ASKING for donations for the cookout. And, nobody who comes to the cookout should feel guilty about not donating.

Speaking of donations, we will have the "donation pool" up again this year for people who cannot afford to come to the cookout but who would otherwise go. There will be more details on this later. Don't ask right now, give us a few weeks.

Finally, we're asking that once we have everything in place to do so, pay the fee when you know for sure you're coming, and not at the last minute, if possible. At the worst, a month in advance of the cookout. Some costs hit much earlier than others, and the money we get in will go towards early bills.

CONCLUDE

Cookout 2007 is on!

We have a location, it's fairly priced, and it ROCKS!

If you truely can't afford to pay to stay, we have free rooms.

Everyone will be at one location with easy airport access!

Bring food if you like, but make it non-perishable (non-refrigerated).

There will be a fee, probably between $20 and $35, geared towards offsetting costs, not making a profit.

06/02 is a Saturday FYI.

Just letting you know this conflicts with a-kon June 1-3 which means I won't be able to go to either if they conflict like this year. Did anyone else this year have a conflict for cookout dates? (This year I skipped THREE cons(Sakuracon(April),Akon(June, one of the biggest), Anime Evolution(August, due to planning conflict with CN Anime Expo) I could not have gone to any due to lack of vacation time.)) Which comes back to the point about conflict of times (Anime North is one week before (May 25-27) which makes it an insane runaround.) Wee need some kind of community calander for convention/meetups... Hmm too bad I couldn't move A-kon's date, I could probably take a train all the way through things and then fly back.

I'm not asking for a date move, since I don't know if I can go anyway, but if it's always going to conflict with a-kon's date, then a-kon has priority since I've known the people I go with to a-kon longer.

Just out of curiosity, what state is this in? Since I haven't heard of A-kon before is it wrong to guess it's outside of Southern CA?

The Cookout is being held in St. Louis, MO. I believe A-Kon is in Dallas, TX.

A-kon is in Dallas, the Cookout is in Missouri, therefor not possible to be at both, and prohibitive to travel to both due to cost.

Personally I'd like to make a con circuit of two cons/events back to back (too bad NONE of them are during the week) that are close to each other and every 3 months. But because the average job only gives you two weeks of vacation per year (if that), you have to pick which two conventions to goto.

Since there are TWO that are localish (Sakuracon and Anime Evolution) I have no reason not to go other than it screwup up plans for other cons (in the case of CN anime expo, there was no way taking two consecutive weekends off was going to work, since I had to do create shift-swaps so I only used one vacation day for it. Had I realized CJ was staying till the 10th, I still couldn't have done it since I only will have 40 Paid time hours (one vacation week) by that time), so I am leaving on the 4th of sept back here. The people I have hung out with before at conventions goto A-kon and Anime North (never been to Anime North), but once again given that there are only two vacation weeks worth of time, and plane tickets cost 500$+, I can -NOT- goto more than two conventions/meetups in a year. This year because of the new job I dropped plans for all the conventions except CN Anime Expo, that I only decided to go after CJ said she was going. Kill two birds with one stone, hang out with CJ and goto a Convention with Comicgenesis people.


Apparently the date is also bad for people who have school(final exam time,) though it's kinda hard to work around the schools in north america and europe. They all start after labor day, but not all end in june.

Right now it looks VERY likely I'll be coming to the cookout!! My school year ends a week or so before the cookout (May 22) and based upon the info from this summer, it wasn't until June 3rd that the first Regiment arrived at Ft. Lewis for ROTC training.

THEREFORE unless I am assigned to the first Regiment (and even then I may be able to arrange to depart from St. Louis to Ft. Lewis if the timing is right) I should be in good shape to attend this year's cookout!! I'm reluctant to put down any money just yet but maybe within a month or so I'll be able to find out more.

FYI, I hate hotel beds and I hate sharing beds even more so I'll probably be bringing a sleeping bag and mat with me. So my bunkmate will get the bed ALL to them self!

MID-TYPING EDIT: Okay, as I'm typing all this up, I checked my Reserve unit's drill dates and that weekend I have Battle Assembly back in San Diego.

This means I can attend the 31st of May and 1st of June, then hop on a red eye plane from St. Louis to San Diego to get back in time for morning formation. I'm also going to look into several other avenues that may make this more feasible such as getting the Army to pay for my plane ticket back home (I'm not sure how that might work), as well as making sure I don't have a Regiment that would overlap.

So, it looks like I may be able to show up for a couple days at best unless Chain of Command shifts around the drill date.

Zwuh and I should be making it this year. :D Just hopefully he'll have finished his studies by then, though... makes me a leeeetle worried about date-wise. If the timing IS good (and we won't really know until next year when he gets his schedules), expect us there (and in a room)!

I wouldn't mind an event calendar. It'd make this thing easier to plan, and save Kisai from her yearly complaint that I'm conflicting with one event or another. ;)

The cookout CAN NOT be pushed backwards into May. Most colleges finish their spring semester by Memorial Day around here, which is the end of May. It CAN be pushed forward, if there's reason enough to do so (if enough additional people could come, and people who can come the first weekend, could also come the later weekend).

Well, one reason that I couldn't come this year - apart from the obvious one of course - was that it was a week and a half before exams. If I'm in school again by then, I'll have the same problem this year.

If it got bumped one weekend forward I think I'll be fine, but the farther from May the harder it gets for me to know what my schedule is this early in the game. I think after about mid-September I'll know much more about my schedule and whether or not I'll be able to commit or not. If you leave it at the current weekend, I'll still try and come even if its only for a couple of days.

To reserve the confrence room at the rate we're getting, we need to have the date set by at worst, the first week of September, if not the end of August. So... if you NEED THE DATE CHANGED, tell me, or hold your peace.

Also, it's been asked - Cornstalkers, other Webcomic artists not on ComicGenesis, and friends who won't poke fun at we geeks and artistic scribblers are entirely welcome, just follow the same process the CGers will be, and watch this forum.

I will try and come. Still need to find out some of my schedule stuff though.

Currently the Cookout is taking place about a week or two before school ends for me and it is my senior year. However I have incredibly easy classes this year so I'm not too worried about the effect of taking a day or two off from school to fly/ drive/ swim down there for a few days.

What might deter me is my senior project this year. It may or may not occupy me well toward the end of June so if that's the case I'm afraid I'm out. But all in all I think it will be possible :D

Still not going to commit until I am sure.

Yeah, I'd appreciate it moving forward one weekend. That way I'm either all in or all out, but when I find out if I can go I won't know possibly until much later this year.
